We are seeking to recruit a proactive EXECUTIVE ASSISTANT TO THE CHAIRMAN & CEO , to join our client's team in MALTA.

Responsibilities:

  • To engage in duties as normally associated to the role of an Executive Assistant to the Chairman and CEO.
  • Coordinating, organizing and booking of flights, hotels, transport and other logistical requirements.
  • Organizing, maintaining and coordinating the Chairman and CEOs personal diary.
  • Maintaining records, minutes, and hard and soft copies of all documentation related to the business.
  • Following up on various projects, clients, team members, and colleagues that the Employer is responsible for and acting on behalf of the Employer as per discretion and authority given by the Employer.
  • Attending meetings as is necessary by the Employer.
  • Managing specific administrative and leadership duties as requested by the Employer on specific issues, projects and/or clients.
  • Assisting the Employer with PR and marketing for the Company, as well as HR related duties as necessary.
  • Ensuring that the Employers passports, insurance and other policies are always valid and in place, while also managing the application and up keeping of all visas.
  • Supporting with translations, either directly or via a translation company.


Requirements:

  • A school leaving certificate is required however, a Bachelors degree related to the role would be preferred.
  • Excellent command of Microsoft Office applications.
  • Proven track record working with administrative and clerical procedures in a similar role.
  • Exceptional written and verbal communication skills in English, whether in person, phone and/or written correspondence.
  • Ability to work under pressure and to work closely with others in a multidisciplinary environment.
  • Able to contribute positively as part of a team, helping out with various tasks as required.
  • A detail-oriented self-starter with excellent time management skills and a positive work ethic.
  • Excellent interpersonal skills, able to communicate with confidence and clarity.
  • Proficient analytical skills and a measured approach to decision-making.
  • A resourceful motivated team player with a can-do attitude.
